Team AnalyticsTeam

Generate reports and insights for your entire team.

Overview

Team analytics give admins and owners visibility into how the team spends time. Generate reports by member, project, or date range to understand workload distribution, track project progress, and make informed decisions.

Admin/Owner Feature

Team-wide analytics require admin or owner permissions. Members can only see their own time data.

Accessing Team Reports

Team reports are available in the Reports section when you're in an organization.

  1. 1
Switch to your organization workspace using the workspace switcher
  2. 2
Click Billing in the sidebar, then select the Reports tab
  3. 3
Select the Team view to see team-wide data

By default, you see the current week's data for all team members.

Report Types

Team analytics offers several views to analyze time data:

By Member

See how much time each team member tracked. Useful for workload balancing and capacity planning.

By Topic

View time spent on each topic across the team. Helps identify which projects consume the most resources.

By Client

Aggregate time by client for billing and profitability analysis.

By Category

Group topics by category to see time distribution across different work types (development, meetings, admin, etc.).

Timeline

See when work happened during the day and week. Identifies peak productivity hours and coordination patterns.

Filtering Reports

Narrow down reports to see exactly what you need:

Date Range
Select preset ranges (this week, last month) or custom start/end dates.
Team Members
Include all members or select specific people to compare.
Topics
Filter to specific topics or see all topics.
Clients
Focus on one client's work or compare across clients.
Categories
Filter by work category (if you use categories).
Billable Only
Toggle to show only entries with hourly rates set.

Tip

Combine filters to answer specific questions like "How much time did the dev team spend on Project X last month?"

Reading the Dashboard

The team dashboard shows key metrics at a glance:

Total Hours

Combined time tracked by all team members in the selected period.

Billable Hours

Hours tracked on topics with hourly rates. Shows what can be invoiced.

Earnings

Total billable amount based on hours and rates.

Active Members

How many team members tracked time in this period.

Below the summary cards, you'll find charts and detailed breakdowns based on your selected report type.

Exporting Team Data

Export team reports for accounting, client billing, or external analysis.

  1. 1
Configure your filters to show the data you want to export
  2. 2
Click the Export button in the top-right
  3. 3
Choose a format: CSV, PDF, or Excel
  4. 4
Select which columns to include in the export
  5. 5
    Click Download

Exported files include all visible data with your current filters applied. Member names, topics, durations, rates, and notes are included by default.

Tip

For client invoicing, filter by client and export as PDF for a clean, shareable summary.

Comparing Periods

Compare time across different periods to spot trends:

  1. 1
Select your primary date range (e.g., "This Month")
  2. 2
    Enable Compare toggle
  3. 3
Select a comparison period (e.g., "Previous Month")
  4. 4
View the delta percentages next to each metric

Comparisons help answer questions like:

  • Is the team tracking more or less time than last month?
  • Are we spending more time on a specific project?
  • How do summer months compare to winter for productivity?

Member Breakdown

The member breakdown shows each team member's contribution:

MemberHoursBillableEarnings
Alice Johnson42.5h38.0h$3,800
Bob Smith36.0h32.0h$2,880
Carol Davis40.0h40.0h$4,000

Click a member's row to drill down into their individual time entries for the selected period.

Topic Distribution

The topic distribution chart shows where team time goes. This visualization helps identify:

  • Which projects consume the most resources
  • Topics that might need more or fewer people assigned
  • Work categories that are growing or shrinking

Tip

If a topic shows much more time than expected, it might indicate scope creep or complexity that wasn't anticipated.

Edge Cases

New member joined mid-period

The member's data starts from when they joined. Their totals will be lower than others who worked the full period. Use the member filter to compare fairly.

Member left during the period

Historical data from departed members remains in reports. Their name may show as "Former Member" but time entries are preserved.

Time entries edited after the fact

Reports always show current data. If someone edits a past entry, reports update to reflect the change. There's no version history for reports.

Different rates for same topic

If team members have different rates for the same topic, the earnings column reflects each person's individual rate.

Best Practices

Get the most value from team analytics:

Set consistent expectations

Agree as a team on how to categorize and tag work. Consistent data entry leads to more useful reports.

Review weekly

A quick weekly review of team time helps catch issues early - unbalanced workloads, neglected projects, or time tracking gaps.

Share insights, not surveillance

Use reports to celebrate achievements and improve processes, not to micromanage. Trust builds better teams than monitoring.

Export for stakeholders

Generate monthly or project-completion reports to share with clients or leadership. Clean exports make professional presentations.
