Billing entities

Create billing entities and switch between personal and team contexts.

What is a Billing entity?

A billing entity is a shared context where team members collaborate. Each billing entity has its own topics, clients, time entries, and settings. You can belong to multiple billing entities and switch between them.

Note

Your personal billing entity is always available alongside any team billing entities. Personal data never mixes with billing entity data.

The Entities Directory

Open Settings → Entities to see every billing entity you own (Your entities) and the ones you've joined (Shared with you), plus any pending invitations you can accept or decline right there (Invitations).

Creating a Billing entity

Create a new billing entity when you want to start tracking time with a team.

    Click your billing entity name in the top-left corner of the app

    Select Create Billing entity from the dropdown

    Enter a billing entity name (e.g., "Acme Corp" or "Design Team")
  4. 4
    Choose a URL slug (this appears in the browser address bar)

    Click Create

You become the owner of the billing entity and can immediately start inviting members.

Tip

Choose a descriptive name that your team will recognize. You can change the display name later, but the URL slug is permanent.

Switching Between Billing Entities

Move between your personal billing entity and team billing entities using the billing entity switcher.

    Click your current billing entity name in the top-left corner

    Select the billing entity you want to switch to from the dropdown

    The page reloads with data from the selected billing entity

When you switch billing entities:

  • Your timer continues running in the original billing entity
  • You see that billing entity's topics, clients, and time entries
  • Any new time entries go to the selected billing entity

Warning

If you have an active timer in one billing entity and start a timer in another, the first timer keeps running. Check your timers when switching billing entities.

Billing entity Settings

Owners and admins can configure billing entity settings.

    Switch to the billing entity you want to configure

    Open Settings using the gear icon in the sidebar
  3. 3
    Go to Entities, then open the entity's General → Name & locale section

Available settings include:

  • Display name - The name shown in the billing entity switcher
  • Default hourly rate - Set under Invoicing → Business profile; applied to new topics if not specified
  • Time zone - Used for reports and analytics
  • First day of week - Sunday or Monday; the billing-entity-wide default for calendars, dashboards and activity views (members can override it for themselves)

Leaving a Billing entity

You can leave a billing entity you no longer need access to.

    Switch to the billing entity you want to leave

    Open Settings, then open the billing entity from Entities
  3. 3
    Scroll down and click Leave Billing entity

    Confirm your decision

Warning

You cannot leave a billing entity if you are the only owner. Transfer ownership to another admin first, or delete the billing entity entirely.

After leaving:

  • You lose access to all billing entity data
  • Your time entries remain in the billing entity for reporting
  • You can be re-invited later if needed

Deleting a Billing entity

Only owners can delete a billing entity. This action is permanent.

    Switch to the billing entity you want to delete

    Open Settings and go to Entities
  3. 3
    Click the delete (trash) icon on the billing entity you want to remove
  4. 4
    Type the billing entity name to confirm
  5. 5
    Click Delete Permanently

This cannot be undone

Deleting a billing entity permanently removes all topics, time entries, clients, invoices, and member data. Export your data first if you need to keep records.

Edge Cases

Timer running when switching billing entities

Your timer continues in the original billing entity. You can have one active timer per billing entity. Use the header timer indicator to track which billing entity has the running timer.

Invited to a billing entity with the same name

Each billing entity has a unique URL slug, so there's no conflict. You'll see both in your billing entity switcher.

Billing entity owner downgrades subscription

If the subscription no longer covers the seat count, new invitations are blocked. Existing members retain access until the billing period ends or seats are manually removed.
