Configure your own email server to send invoices from your email address.

Overview

By default, TeeckIn sends invoices from our email address. With custom SMTP, you can send invoices directly from your own email address. This looks more professional and helps ensure your emails reach your clients' inboxes.

Why Use Custom SMTP?

Without Custom SMTP

  • Invoices come from "noreply@teeckin.com"
  • Replies go to TeeckIn, not you
  • May land in spam folders
  • Less professional appearance

With Custom SMTP

  • Invoices come from your email
  • Replies go directly to you
  • Better deliverability
  • Professional branding

What You'll Need

To set up custom SMTP, you'll need the following from your email provider:

  • SMTP Server - The hostname (e.g., smtp.gmail.com)
  • Port - Usually 587 (TLS) or 465 (SSL)
  • Username - Usually your email address
  • Password - Your email password or an app password

Warning

Many email providers require an "app password" instead of your regular password. Check your provider's documentation.

Configuring SMTP

    Go to Settings → Invoicing

    Open the Email / SMTP section

    Click Configure Email
  4. 4
    Enter your SMTP host and port
  5. 5
    Enter your username and password
  6. 6
    Enter the "From Email" (the address invoices will come from)
  7. 7
    Enter the "From Name" (e.g., "Your Company Billing")
  8. 8
    Check "Use SSL/TLS" if your provider requires port 465
  9. 9
    Click Save Settings

After saving, click Test Connection to verify everything works. You'll receive a test email at your configured address.

Common Provider Settings

Gmail

smtp.gmail.com, Port 587, requires app password

Enable 2FA and create an app password at myaccount.google.com

Outlook / Microsoft 365

smtp.office365.com, Port 587

Zoho Mail

smtp.zoho.com, Port 587

Custom Domain (via Google Workspace)

smtp-relay.gmail.com, Port 587, requires app password

Tip

For the best deliverability with a custom domain, set up SPF, DKIM, and DMARC records in your DNS. Your email provider's documentation will have instructions.

Billing entity SMTP

In a team billing entity, you can configure SMTP at the billing entity level. All team members will send invoices from the billing entity's email address.

    With the billing entity selected, go to Settings → Invoicing

    Open the Email / SMTP section

    Configure SMTP as described above

Note

Billing entity SMTP overrides personal SMTP settings when working in that billing entity context.

What Uses Custom SMTP

When configured, custom SMTP is used for:

  • Sending invoices to clients
  • Invoice reminders
  • Payment receipts

System emails (password resets, verification emails, etc.) always come from TeeckIn's servers.

Troubleshooting

Connection Failed

  • Verify the hostname and port are correct
  • Check if SSL/TLS setting matches the port (587 usually needs TLS, 465 needs SSL)
  • Ensure your firewall isn't blocking outbound SMTP

Authentication Failed

  • Check that you're using an app password if required
  • Verify the username (usually your full email address)
  • Some providers require enabling "less secure apps" access

Emails Not Delivered

  • Check your spam/junk folder
  • Verify SPF/DKIM/DMARC records for your domain
  • The "From Email" must be authorized to send from your SMTP server

Removing SMTP Configuration

To stop using custom SMTP and revert to TeeckIn's default:

    Go to Settings → Invoicing and open the Email / SMTP section
  2. 2
    Click Remove
  3. 3
    Confirm the removal

Invoices will then be sent from TeeckIn's email address.
