Add people to your organization and manage pending invitations.

Who Can Invite

Organization owners and admins can invite new members. Members with the standard "member" role cannot send invitations.

Team Feature

Inviting team members requires a Team subscription. You'll see a "Team" badge on the Invite Member button if you're on the Free or Pro plan.

Note

Each team member requires a seat on your subscription. Check your available seats before sending invitations. If you need more seats, upgrade your plan or add seats in billing settings.

Sending an Invitation

Invite team members by email. They don't need an existing TeeckIn account.

    Switch to the organization you want to invite people to

    Go to Organizations page (this shows the members list when in org context)

    Click Invite Member
  4. 4
    Enter the person's email address
  5. 5
    Select a role: Admin or Member
  6. 6
    Optionally set custom permissions
  7. 7
    Click Send Invitation

The invitee receives an email with a link to join your organization.

Tip

You can invite multiple people at once by entering multiple email addresses separated by commas.

Invitation States

Pending invitations appear in the Members tab until the recipient acts on them.

Pending
The invitation has been sent but not yet accepted. The invitee has 7 days to respond.
Accepted
The person has joined and appears in the active members list.
Declined
The person chose not to join. You can send a new invitation if needed.
Expired
7 days passed without action. Send a new invitation to try again.

Accepting an Invitation

When you receive an invitation to join an organization:

    Click the link in the invitation email

    Sign in to TeeckIn (or create an account if you don't have one)
  3. 3
    Review the organization name and who invited you
  4. 4
    Click Accept to join, or Decline if you don't want to join

After accepting, the organization appears in your workspace switcher. You can start tracking time immediately.

Tip

You can also view pending invitations from your account settings without using the email link.

Declining an Invitation

If you don't want to join an organization:

    Click the link in the invitation email

    Sign in to TeeckIn
  3. 3
    Click Decline

The organization owner is notified that you declined. They can send another invitation later if circumstances change.

Canceling a Pending Invitation

Owners and admins can cancel invitations that haven't been accepted yet.

    Go to Settings and select the Members tab

    Find the pending invitation in the list
  3. 3
    Click the Cancel button next to the invitation
  4. 4
    Confirm the cancellation

The invitation link becomes invalid immediately. The invitee can no longer use it to join.

Resending an Invitation

If someone didn't receive the invitation email or it expired:

    Go to Settings and select the Members tab
  2. 2
    Find the pending or expired invitation
  3. 3
    Click Resend to send a new email

Resending generates a new invitation link and resets the 7-day expiration timer.

Edge Cases

Inviting someone who already has a TeeckIn account

They receive an invitation email and can accept from their existing account. No new account creation needed.

Inviting someone already in the organization

The system prevents duplicate invitations. You'll see an error message indicating the person is already a member.

Inviting yourself

You cannot invite your own email address. You're already in organizations you own or have been invited to.

Email address typo

If you mistyped an email, cancel the invitation and send a new one to the correct address.

No available seats

You cannot send invitations when all seats are used. Add more seats to your subscription first, then send invitations.

Troubleshooting

Problem: Invitation email not received

  • Check the spam/junk folder
  • Verify the email address was entered correctly
  • Ask the recipient to add noreply@teeckin.com to their contacts
  • Try resending the invitation

Problem: 'No seats available' error

  • Check your current seat count in billing settings
  • Remove inactive members to free up seats
  • Add more seats or upgrade your subscription

Problem: Invitation link says 'invalid or expired'

  • The invitation may have been canceled by an admin
  • More than 7 days may have passed
  • Ask the admin to send a new invitation
