Unbilled Time
Find and manage time entries ready for invoicing.
Overview
Unbilled time is billable work that hasn't been added to an invoice yet. The Calendar page tracks unbilled entries and lets you select them to create invoices.
Viewing Unbilled Time
- 1Go to Calendar page
- 2The summary bar shows Billed, Unbilled, and Not Billable totals
- 3Navigate to the date range containing entries you want to invoice
- 4Unbilled entries are shown alongside billed ones in the calendar view
Unbilled Summary
The Calendar summary bar shows three totals:
Billed
$2,500
Already invoiced
Unbilled
$4,250
Ready to invoice
Not Billable
$350
Internal/non-client work
Selecting Entries for Invoice
To create an invoice from unbilled entries:
- 1On the Calendar, click entries to select them (checkboxes appear)
- 2Use Shift+Click to select a range
- 3Click Create Invoice in the action bar
- 4Choose the client and add any notes
- 5Selected entries become part of the new invoice
Tip
Only unbilled, billable entries can be added to invoices. Entries already billed or marked as not billable are excluded automatically.
Marking Not Billable
Sometimes you track time that shouldn't be invoiced:
- 1Select the entries on the Calendar
- 2Click Mark Not Billable in the action bar
The entries move to the "Not Billable" total. They're still tracked for your records but won't appear in unbilled totals or be available for invoicing.
Best Practices
- Invoice regularly — Don't let unbilled time accumulate for months
- Add notes as you work — Good notes make invoices more professional
- Review before invoicing — Check for missing entries or wrong rates
- Group by client — Create one invoice per client for clarity
